Privacy Policy.

How Speed Collective A.C. collects and protects personal data under Singapore's PDPA.

Who we are

Speed Collective A.C. ("we") is an athletics club in Singapore. This policy explains how we collect, use, disclose, and protect personal data.

What we collect

Account and membership data may include name, email, contact number, date of birth, nationality, gender, emergency contact details, and the last four characters of an NRIC or FIN (encrypted at rest).

We do not store account passwords in our database. Passwords are handled by Firebase Authentication as a one-way salted hash.

We also collect Contact form submissions, membership account data (including optional personal bests), and public team page profile content that staff publish.

Why we collect it

We use membership data to run club operations, communicate with athletes and parents, and keep emergency contacts for training safety.

Athlete identity fields (including NRIC or FIN last four characters) are collected so admins can register athletes for competitions. Competition entry tools autofill from your profile for convenience.

When you enter a competition, we also process event selections, season bests, PAR-Q answers, and related entry details so staff can submit you to the meet organiser.

We only use personal data for the purposes notified at collection, or as otherwise allowed under the PDPA.

Children and parental accounts

Anyone 17 years old or under must have a parent or guardian create their athlete account. The parent accepts this Privacy Policy on the child's behalf when creating that account.

Adult athletes (18 and over) may create their own accounts and accept this policy themselves.

Competition entries for linked child athletes require a separate parental meet consent at the time of parent approval (or when a parent submits the entry). Membership Privacy Policy acceptance does not cover meet entries. Club admins only approve an entry after that parental step, and parent approvals are logged.

NRIC and FIN

We only store the last four characters of an NRIC or FIN, and we encrypt that value before it is saved. We do not use NRIC or FIN numbers as login credentials.

This limited identifier is kept so staff can complete competition registrations accurately.

Who can access your data

Club admins and superadmins can access member profiles for operations and competition registration.

Parents can see profiles for athlete accounts they created. Athletes can see their own profile.

We use service providers such as Google Firebase (Authentication, Firestore, Cloud Functions, Hosting) which may process data outside Singapore under their terms and safeguards.

Retention

We keep personal data while your account is active and for a reasonable period after membership ends where needed for club, safety, or legal purposes. We then delete or anonymise it when retention is no longer necessary.

Your rights

You may request access to or correction of your personal data, or withdraw consent where applicable, by emailing contact@speedcollectivesg.com. We will explain any consequences of withdrawal (for example, we may not be able to keep your membership or register you for competitions).
